September 2, 2009 Meeting

Secretary’s report: Rosa Kowalski

Rosa Kowalski requested a motion to accept 6/03/09 minutes; motion to approve minutes by Tom McNulty, Maureen Merritt seconds the motion.  All agree, no opposition

 

President’s report:  Jeff MacInnis

Jeff met with the town regarding Thorpe Fields.  Quick decisions are needed to be made.  The U10 & U12’s are to be the only ones to be playing so the field doesn’t get ruined.  Jeff worked with Frank & Brian working out the rules for drop off and parking.  Everything has been posted on the web site.  David Mountain is worried about the neighbors.  Because of the by-laws the president has filled the other open director position.  Manny Lopes is director of intramurals for the interim.

 

Registrar: Diane MacInnis

Sports pilot everyone is using it.  Fall registrations are up:

We had 644 applicants in the fall versus 641 in the spring.

 

The problem DYS is having now is people not sending in the registration money.  There are 27 families ($3,000) that are currently outstanding that have not paid.

 

What should we do? 

1)      Send a paper invoice

2)      If the family doesn’t pay by the spring the child will not be rostered for the spring.

 

All this should be done by a letter by the president.

 

Treasurer’s report: Maureen Merritt

Maureen gave a financial report.  Brian Harrison gave a motion to accept the financials; Diane seconds the motion and all accepted with no exceptions.

 

DYS has received the following thank yous from the Bekel family, Harrison family/Cystic Fibrosis, Hospice, Hogan Regional Center, Food Pantry, Monica Vessey Photography and the Cancer Walk.

 

VP of Intramural’s report:  

 

VP of Travel: Dave Kamens, not present

Dave Kamens was not present due to the ECYSA meeting.

 

VP of Operations: Frank Missett

Fran thanked Kevin Mallon for all the help that he did in the spring.

 

Thanked John Reynolds and his two sons for painting the shed @ Gates.  The Reynolds family also donated the paint and did the clean up.  They did a great Job!

Sheryl Marshal wants an opening ceremony @ Thorpe for Lacrosse, Recreational Dept & DYS.  She wants to have a cutting ceremony. 

Frank says that the U12 games should be in the back field=full sided games.

 

Should we provide equipment for Thorpe Field?  Do we buy a new set for U10 and for opening day? 

 

Do we spend?

-$4500 on 2 nets of U10 hard nets

-buy corner flags (1 box of 16) costs $130

-sand bags $250

 

Neal Hovey asked what happens in the spring when Lacrosse starts up.  Game times?  Lacrosse plays in the spring on Sundays.  We should be breaking in Thorpe in slowly, its new grass.  Should we move nets from Thorpe to Gates in the spring?  In the spring where will the DIT go?

 

Neal makes a motion to appropriate $8,000 to the U10 & U12 nets, sand bags, and corner flags for Thorpe field for the opening day.  We should make a formal invitation to the neighbors.  Brian Harrison seconds it.  All in favor, no oppositions.

 

Bob Gilmore wants to publicize it, get Salem Evening News there.

DIT Coach/Player Development: John Barrows

 Monday night the training @ Gates will be starting.  We have 3 goal keeper and 3 other skill clinics for the players.  These clinics are in addition to practices not to replace them.  Coaches can come.

 

 

Director of Publicity: Bob Gilmore, not present

 

 

Intramural Tournament Director: Manny Lopes, interim

U6 are all set at John George (8:30-9:30), U7’s (9:30-10:30). They all have coaches.  We have in U8 6 boy’s teams and 4 girl’s teams. 

 

MPS will train U8’s on Wednesday nights, and Tuesday nights the U10’s.  He will beholding a coaches meeting for the U7, U8 and U10.  The U10 will be a separate meeting due to the Lynnfield games.

 

The U8’s are back in the tournament. 

 

Brian Harrison made a suggestion to have a fields list where to go for practices.  No practices should be at Thorpe fields.

 

Jeff MacInnis made a point about the U7 and U8 referees continuance of no shows last year, they can’t blow whistles, need training lessons, and they do not know rules.  It has to be a joint effort.

 

Brian Harrison wants Jerry here for a discussion.  Referees should be paid after the game not at the end of the season.

 

 

Committee reports:

 

Fundraising: John O’Connor

On-line apparel is working.  There will be an e-mail going out when it’s ready for pick up.  It’s also an embroidery business.  The introduction will take place thru Sports Pilot and hopefully it will be launched by 9/15.  There will be a link in the DYS web site guiding you to the on-line apparel. 

 

Jeff MacInnis brought up the upcoming Revs game:  It was big success last year.  Should we have the 9/26 game for fun or fundraiser?  It’s not enough time to plan (being it 9/2).  Jeff suggested waiting for the spring to do another one.  Janet Gargan also suggested the Breaker’s game.

General, impacting both ITC and Festival-

 

Mass Youth has suspended implementation of the ban on U-08 “travel” (which includes participation in tournaments) until September 2010 at the earliest. Therefore, the ITC will be forming U8 teams and the 2009 Festival will be opened to U8’s as in the past.

 

 

ITC:

 

  • Thanks to Tracy Smith and Al Giannetta for managing the communications and process of forming 5 U10 teams (3 girls and 2 boys) for Labor Day.

 

  • My apologies to the remainder of the ITC, but due to an extraordinarily tight time frame (several days) and minimal interest (50% of those registering for fall tournaments) in Labor Day tournaments this was handled without the full committee but was handled in accordance with team formation guidelines in the ITC Policy.

 

  • Teams will be reformed by the full ITC for Columbus Day and Veterans Day events, and U-08 teams will be reviewed and formed.

 

  • Meeting will be Tuesday 9/8 7:30pm location TBD at this time. Invite to ITC members sent via email on 9/1/09.

 

 

Soccer Saluting Soldiers Festival:

 

  • Email sent to the DYS BOD on 8/31 soliciting committee members. To date (9/2 8am) responses in addition to names on website: Sharon Clement, Bob Gilmore, Brian Harrison, Maureen Merritt. (Also note that I need to be listed as well)

 

  • Revised application sent on 8/31 to Mass Youth to include U-08 age groups. Approval is pending.

 

  • Website up and all ECYSA towns, DIT U8/10 coaches, and 2008 Festival coaches have been invited via email with follow-ups to be sent periodically.

 

  • Updates and revisions to reflect inclusion of U-08’s have been prepared and will be released upon Mass Youth approval of revised application. Updated invite emails will also be sent at that time.

 

  • Meeting Sunday 9/13 7-8pm location TBD to review task list and responsibilities.

ECYSA Champion jackets: 

In the past when a team has won Essex county DYS has approved $50/jacket for team, including the coaches.  It was not done this year.  DYS budget committee tried to limit spending.  Maybe going forward U12 & U14’s win ECYSA can be discretionary expense out of DIT fund.  If the kids won OTC it would have been &100/per player.  We do not have to decide on a policy now.  Maureen Merritt makes a motion to accept to pay $50/pp and coaches for the ECYSA jacket.  Charlie Martins seconds it. Maureen amends the motion that the money approved for the ECYSA jackets comes out of other income ($ donated from Dick’s, Goodies fundraiser, Verizon’s donation, and Monica Vesey photography) not out of the DIT profits.  All in favor, no oppositions.

 

Refunds:

Refunds paid out to soccer?  Jeff MacInnis asked what should we do when a travel player asks for a refund after the teams are formed?  DYS has already paid for registration fees.  DYS should only refund the net, not the whole amount.   Maureen made a motion to refund the net portion back to the travel players.  Tom McNulty makes a second motion.  All in favor, no oppositions.

 

 

Boosters:

DYS night-$200 at the gate.  It’s a special event.  Diane MacInnis makes a motion to accept, Brian Harrison seconds it.  All approved no oppositions.

 

Brian Harrison made a suggestion that we should invite the police department here to give us some guidance about all the vandalism at Gates.  Maybe they could give us some ideas to stop this.
