Minutes of the Danvers Youth Soccer Sept. Board Meeting

September 3, 2008

23 people attended the meeting.

 

The meeting was called to order by President David Tye at 7:36 PM.

 

President’s Report  - Dave Tye

Dave congratulated Loren Rocker on a job well done with the new travel uniforms.  Several board members commented that the uniforms look great.

 

Secretary’s Report - Maureen Merritt

We need to vote on May, 2008 BOD minutes and June, 2008 tonight because we did not meet the quorum to hold votes at the June, 2008 meeting.  There was a motion to accept May and June 2008 meeting minutes; the motion was seconded; the motion passed.

 

Two email votes were held since our last meeting.  The first was to approve a motion to donate $1,000 to Tom Conway’s fundraising efforts for the North Shore Cancer Walk.  The second was to vote in Meghan Chambers as a corporate member for a vacant position.  Both motions passed without opposition.

 

Registrar’s Report- Jeff MacInnis for Dianne MacInnis

There are 613 players registered for the fall.  The U6 program numbers are low:  33 girls and 21 boys, compared to usual averages of 50 and 50, respectively.  Jeff MacInnis made a motion to purchase the Sports Pilot online registration; Brian Harrison seconded. There was some discussion.  Someone asked if we would have a contractual obligation.  The answer was no.  The estimated cost of $5 per registration (which is the discounted MYSA rate) could actually go down based on how many MYSA members join Sports Pilot.   The vote was taken and the motion passed unanimously.

 

Parent -

A parent asked the board to consider that his daughter was wrongly placed on the travel team.  He felt that she should be placed in a higher division.  The board will refer the matter to the Travel Director (and Travel Committee) who was not present.


                                                                       

 

Treasurer’s Report Sharon Pollock

The combined June, July and August, 2008 Treasurer’s reports were presented.  Jeff Chambers made a motion to accept  the July - August, 2008 Treasurer’s Reports; motion seconded by Tom McNulty;  motion passed unanimously.   Jeff Chambers made a motion to accept May, 2008 treasurer’s report as presented at the June 4th meeting;  seconded by Frank Missett; motion passed without opposition.   

 

VP Operations Report Frank Missett

Dick’s donated coaches’ equipment bags again.  Some new balls were purchased to replace the ones that were warped.  Frank thanked Brian Harrison and Brian Armand for putting together the equipment bags.  Brian Harrison reported on field improvements that have been completed and final costs.  A board member will have a conversation with Jack Schmigdall regarding the $2,000 donation that we had pledged to Danvers High Athletic Dept. for the past 3 years, totaling $6,000.

 

 

VP Administration ReportJeff MacInnis

DYS hosted a G course and an F Course in August at the YMCA.  There were 18 DYS coaches and 15 coaches, respectively at the courses.  Jeff is looking to schedule an E course in the spring.  The YMCA is asking for a donation for the use of their gym.  Jeff MacInnis made a motion to donate $500 to the YMCA; Jeff Chambers seconded the motion.  Discussion ensued.  The vote was taken and passed without opposition.  Jeff commended Manny Lopes for recruiting U8 coaches.  The Intramural coaches’ meeting was held last Thursday.  It was well attended.  Jeff commended all division coordinators for their efforts in forming teams, etc.  There will be a DYS night at a DHS high school game.  U8 boys and girls will play at half-time.  MPS clinics were not scheduled for this fall.  Attendance was low at the spring clinics.  We need someone to step up to coordinate the Intramural Tournament Committee (ITC) team formations.

Meetings are being held on Tuesdays at 7:30 at Cody’s.  Committee members will be selling tickets at game sites on weekends.

 

Pictures- Maureen Merritt

Sportography will be doing soccer pictures this year.  Unlike in the past, order forms will not be given out in advance.  Instead, Sportography is offering Online Picture Registration to be done in advance of picture day.  Paper forms will also be available the day of the pictures for those who fail to do the online registration. Sportography has requested our entire email list for all the players and will sign a confidentiality agreement if the board requires it.

New Business:

 

DYS Ombudsman

Dave Tye revisited the idea of creating this board position to act as an advocate for parents who have problems with DYS.  The general sentiment of the board was that this would be a hard position to fill and instead we need a written policy in place to deal with conflicts and grievances from parents.  And the word ombudsman is really hard to say.
