of the DYS Board of Directors Meeting, 7 Sept 2005

Meeting
was called to order at 8:08 pm.
Secretary's
Report: June minutes tabled until October.
President’s
Report: BJ’s will have a free soccer ball distribution from Uniroyal. Distribution will begin Sept. 16th.
More details to come. Citizens Bank is
also continuing its free ball distribution program, but with an 80% reduction
this year only. The bank has a new logo.
The
Lawrence St. playground is too small for U10 teams and above. U7 and U8 may use
but care should be taken to respect other users of the playground and to keep a
safe distance from other children.
MYSA is
holding a special meeting Sept. 18 at 12:00 pm to deal with the following
issues:
1) Increase of registration fee of
$3.00 to fund development of soccer complex in Lancaster.
2) Increase of MYSA board from 12 to 18
members. New members would be district representatives.
3) Possible change in bylaws regarding
suspension of members. Right now, there is no mechanism to suspend a member
under indictment or similar circumstances.
4) May add an unspecified standing
committee.
MYSA
selected Sports Pilot online registration package to replace Soccer Track. DYS can sign on to the service for $2.50 per
registration. The more towns that sign up, the less per player cost with an
eventual $2.00 minimum. Consensus of the board was that DYS will not use Sports
Pilot at this time pending further investigation and experience of other towns.
DYS needs
to notify the town if we solicit funds. Scam artists have been conducting phone
solicitation in soccer’s name.
On Aug.
6, MYSA decided to create a Fall U16 program with a 7v7 format, including 6
sessions on Friday nights. DYS did not participate due to the late notification
and will consider for next year.
Treasurer's
Report: DIT budget and recent DIT returns discussed. Monthly activity
discussed. Treasurer's report accepted.
Registrar's
Report: Current Fall Registration: 732 registered players. New registrations
coming in steadily. Coaches need to call players as soon as possible so they
will stop calling the registrar and VP Admin.
VP Admin:
11 DYS coaches took the G course in August. U6 program starts Saturday. MPS
coaching clinic at 10:00 (after U6 program) for any interested coach or
parent. Will include the U6 players in
pictures this year. All teams have been
assigned coaches. U7 girls appears to be the only division with a shortfall of
players, teams may be merged to alleviate the situation. There will be a pure
in-town schedule this Fall. May be working with other towns (Middleton,
Lynnfield and others) for a Jamboree in the Spring.
VP
Operations: Usual permits have been requested for the Fall season. Gates
backfield is in slightly rough shape. Open sprinkler head needs to be dealt
with. New nets are needed for John George field.
Travel
Director's Report: 17 teams for the Fall: 4 U12 B, 4 U12 G, 4 U14 B, 5 U14 G.
Coaches have been assigned for all teams but one. J. Chambers and J. Gargan
volunteered to coach the team in the interim.
The game
postcard this season is a one-page card retained by the referee. Coaches will
need to write down the game score for later posting to the ECYSA website. ECYSA website will now include a page that
gives up to the minute reports on individual field closings in member towns.
Sept. 25th is the last day to add players to rosters. The Travel
Director has the ECYSA laminated rosters and they may be picked up at coach’s
convenience.
Committees:
DIT: Corporate sponsorship should be more
vigorously pursued for next year. N.
Reading is a good example of aggressive pursuit of sponsorship. New volunteers for the DIT need to be
solicited early in the process.
ITC: Effort is being made to recruit additional
players for Columbus Day Tournaments.
Pictures:
Schedule and packages are done and are going out to coaches. Pictures will also
be done for U6 players, details being worked out.
Social: There will be a dance this year, sometime in
October. No golf tournament will happen.
Touchline:
No touchline for the Fall. Calendar should be created and put on website.
Scholarships:
Thank you notes received from several participants.
Long-term
Planning: Meetings will resume in the Fall.
Old
Business: Secretary’s membership email
list needs to be updated.
New
Business: Donation of DYS Family
Membership to auction for DYS High School Band trip to Tournament of Roses was
approved.
President
remarked that we need to review how DYS officers are turned over. It creates
unnecessary problems to turn over the majority of the board in a single year.
Nominating Committee needs to be formed. Long term planning committee needs to
consider by-laws revisions for term of service and election of officers.
