Minutes of the DYS Monthly Meeting and AGM
November 21, 2002 Meeting began at 7:40
Attending the meeting were:

President Items
Tom Conway opened the meeting and introduced the current board members. He then discussed the duties of the director, corporate and associate corporate positions. Committees were explained, and volunteers solicited for all committees. He raised the possibility of doing vote by acclamation for new board members rather than secret ballot since no positions were contested.
Secretary Report
The October minutes could not be approved because of a lack of voting members present.
Thank you letter received for donation of one-year family membership to St. Marys School auction.
Thank you card received from Mike Grandmaison.

Registrars report:
Registration for the Spring intramural season will occur after the first of the year, probably in February.
VP Operations report:
Fall season over, nets are down and all equipment stored away in shed at Gates or Plains Park snack bar facility.
Gates field will be seeded shortly in the hopes that goal mouths will come in well in the spring.
YMCA field will be closed in the Spring and major work done to improve the field. 3 small-sided fields will be used at Smith School.
Control valve at Gates field (in playing field) is being investigated and a method will be found to alleviate this hazard.
Travel report:
Travel director (Janet Gargan) still has a number of coachs plaques. If you havent received yours, contact Janet.
Player and coachs cards and team rosters need to be returned to Janet pronto!
Spring travel season will start April 5. Jan. 7 is deadline for team formation.
DYS had $120 in fines during the Fall season for late or unreported scores. This is unacceptable!
For the referee course in January, only 10 individuals in all of Essex County have signed up. We cant play soccer without referees! The age requirements are 12 for small-sided soccer, 15 for full-sided. Essex County has a referee shortage and everyone is encouraged to help out by taking the ref courses! Currently, Danvers is below average for the number of referees we supply to Essex County given the size of our program.
Essex County has tightened requirements for rescheduling of games. Starting in the Spring, the only valid reasons will be religious or educational ones, and documentation will be required. If a team has 7 players available, it will be required to play.
Spring schedule: ECYSA Championship Playoffs, June 12-15.
MTOC June 27-29 at UMASS.
U18, U19 divisions may play a series of "mini-tournaments" rather than a regular schedule in the Spring. U16 may move from an 8 game to a 6 game schedule.
VP of Admin Report:
Good season overall, only one coaching complaint received late in the season. Games seemed to be competitive with relatively few lopsided scores.
For the Spring: Coaches must show up early enough to make sure the nets are setup on time! Several times at Gates teams from Topsfield were kept waiting as the nets were not ready by 1:00 pm. Some games did not get off until 1:30! This was a major issue for Topsfield.
The Landfill fields in Topsfield will be reopened in the Spring.
U8 girls will be reformed for the Spring due to massive late signups leading to overfilled rosters. Some adjustments may be done for U10 boys as well.
ITC:
Registration complete but still getting some late registrations. Another registration will likely be done in tandem with the Spring intramural registration.
A volunteer is needed to organize the U7 tournament at the DIT this Srping.
DYS Social
The DYS Social will be moved to the Sheraton Ferncroft next year.
Danvers Invitational Tournament:
Bob Trudeau stepping down as director of the DIT. Thanks for all the great work Bob! Bob will still be involved with the tournament. Tom Conway will replace Bob as director. The 2003 DIT will likely be more "invitational" in nature to keep the tournament size down to a manageable level. Planning for the DIT will start in December.
AGM: Elections were held for board members for 2003. As no positions were contested, the voting was done by acclamation. New officers for 2003 are:
