Minutes of the DYS Monthly Meeting

November 1, 2000 – Meeting began at 7:40

Attending the meeting were:

Meeting attendance was 25 people.

DYS Annual General Meeting is November 16th

The annual general meeting of DYS will be held on November 16, 2000 7:30 PM at the DHS cafeteria and will be a short meeting. There will be election of new officers but the majority of the time will be spent outlining highlights for 2000 and plans for 2001. There will also be a discussion regarding things we need to do as an organization. A flyer will be distributed to parents requesting their questions and input. COACHES and parents are encouraged to attend this meeting!

This month Dave Clarkson instituted an agenda process to limit the time spent at the monthly meeting. From 7:30-8:00, short officer reports, 8:00-9:00 previously determined discussion items and 9:00-9:30 open or additional items to be discussed. The goal is to have the monthly meetings limited to two hours.

It was noted that the Fall Social on October 27th was a success and a good time by all attendees. Janet Archambault and her committee did a great job!

Secretary Report

The October Minutes were unanimously approved.

Treasurer’s Report:

October Treasurer’s report reviewed and approved.

Registrar’s report:

Spring U16/U18 Registration: Mailings will be going out in November for previous registered players. If interested and a mailing is not received contact the DYS Registrar. The deadline for registration will be December 5, 2000.

VP of Operations Report:

Field Development/GATES

Gates #2 has a grub problem. The field will be overseeded after the last game this fall.

Field Development/Smith

This fall the two back fields were used while the front field was closed. In the Spring, the front field will be opened while the back will be used for one field. This back field will be positioned to give the heavy used areas (goal mouths) a rest.

Field Development/George Field

The Geese problem at George Field is being addressed with the town.

Over the next week, nets at all fields will be removed and the goals will be moved for the winter.

Administration:

The only issue this Intramural season has been with the limited number of referees.

Pass the Word: Any U12 Sr. or U14 Jr. player interested in refereeing intramural games next Spring or Fall can send a note to Jerry Morin (jmorin@ecysa.org). There will be a course the end of November.

Travel report:

The Annual General Meeting for the Essex County League is November 8th.

The travel director is currently soliciting thoughts on how to do/improve Spring tryouts. If you have any ideas send them to Jeff Chambers.

Intramural Tournament teams:

The recently updated policy for DYS Intramural Tournament teams was discussed and approved. The philosophy of this policy is as follows:

Tournament experience should be both positive and enjoyable to DYS players and coaches.

Coaches shall be responsible for providing fair and equitable distribution of playing time.

The team formation process shall give equal consideration to all intramural players in the age group within reasonable boundaries.

As long as coaching is available the team formation process shall be viewed as a means to place players on teams, not as a means to eliminate players from tournament play. Every effort will be made to provide each player who wishes to participate an opportunity to play.

Teams will be formed twice each year.

No Tryouts are to be held.

DYS does not endorse tournament play for U-7 (U-8 Jr) players.

Forms are out for Spring Tournament sign-ups. Final registration will be February 6th, 6:30-8:30 PM Room 101 at the high school. This will be for DYS registration and ITC registration signups.
