      MARCH 5, 2003
MINUTES

ATTENDANCE:

OFFICERS: DIRECTORS: CORPORATES:
David Tye John Barrows Tom Laughlin
Larry Davis Tom Conway Brett Amico
Janet Gargan Ernie Dion
Bruce Ocko Bob Gabel
Laura Davis Tom Guidi

SPECIAL NOTE:
Due to a lack of access to the church, meeting was moved to Janet Gargan’s house. Thank-You Janet for your hospitality.

I.      Secretary's Report:
February minutes were accepted as written and posted on website. Noted that Jeff Chambers is sick and that Davis Tye will oversee meeting in his absence.

II.     Administrations:
Date for intramural coaches meeting is tentatively scheduled for March 27th at the Sheridan Ferncroft. Will have confirmation on the 6th. Two new U-8 girls teams have been formed and coaches found. Dave will contact one of the U-8 boys coaches to check on return status. Intramural team information to be sent to John Barrows as soon as possible so schedules can be made and Jerry Moran can assign referees. A meeting is being set up with the U-10 boys coaches to go over fair play and to access if teams should be reformed for fairness. Fair play policy will also be brought up at the coaches meeting on the 27th.

II.     Treasurers Report:
Cash report and activity to date presented and accepted as written. Discussed and voted in the approval of hiring Mike Grandmaison to handle DYS taxes and nonprofit statements. Fees quoted were $1000 for this year then between $350 -- $500 per year there after. Because of our fiscal year we have until the end of May to file. Tom Guidi volunteered to do the annual report required by the state. The $1000 dollar donation to the Hopkins Children's Fund was ratified according to the by-laws.

III.    Travel Report:
Travel coaches were mailed out rosters and letters. Mandatory coaches meeting will be held on March 24th @ 7:30 PM at the Georgetown Country Club. A registered coach or assistant has to attend to receive their team paperwork. The travel director will NOT be able to do this for you. Although Middleton agreed to place three of our U-18 boy players in December, they have had some late in-town registrations and would like it if we can place our players in another town. If we cannot do that, Middleton will honor the original agreement. ECYSA has already decided that the first weekend of games will be canceled for the April 5th games and postponed to be rescheduled for the April 6th games making April 12th and 13th opening weekend. If the fields are unplayable on the 12th, the 51% rule will apply as to weather or not the games will be made up. One other issue is that a lawsuit is being brought against ECYSA, the officers of ECYSA and all of the soccer leagues in the association stemming from a car/motorcycle accident. A soccer volunteer was leaving the Waron’s home and was involved in the accident and the party on the motorcycle is trying to sue. Janet will keep an eye on this concern and keep us posted.

IV.     Registration:
Neal Hovey not present, was reported that 82 new spring players were registered. 4 of these were U-12 boys.

V.      Operations:
Balls have been ordered and received. Bruce has invoice and will pay. Select, the company that we have been doing business with is moving to Atlanta. We will have to go through a distributor to continue with select balls next year. Davis Tye will be setting up on Sundays for fundamentals. Handi-house will be contacted to push the delivery date to the week of April 12th. DIT fields requirements discussed and will be gone over at the DIT meeting.

VI.     DIT:
There are 158 teams registered as of tonight, there are only 2- U-16 girls slots open on full sided and the small sided U-8’s and 10’s remain open until March 21st. ITC will be adding 11 or 12 teams to the count. Full-sided groupings have been done and Tom Conway and Larry Pickering will be doing those schedules within the next week. Small sided groupings will be done as soon as possible after the 21st. ITC coaches will be asked to register right away after ITC holds its coaches meeting. The high school soccer boosters club would like to run a concessions stand, will discuss at DIT meeting. St. Richard's parish youth group the "Young Neighbors in Action" is holding a raffle and a donation of 1 DYS Registration was voted for and Tom Conway will handle that. DIT meeting will be next Wednesday, March 12th @ 7:30 at Stop & Shop.

VII.    Touchline:
Tom Guidi extended the deadline by a week. Please send him your copy ASAP at TGUIDI@hembar.com

VIII.   Referees:
Meeting was held. Decided to hold a meeting with intown referees to go over how to present themselves at games. There will be guest speakers and DYS will host them to a pizza party after the meeting. Date to be announced.

IX.     Old Business:
  No old business discussed

X.       New Business:
In Co-operation with Danvers Baseball, Neal Hovey will be setting up a first-aid/safety training class with the Danvers Safety officer at the police station. Dave Joyce will be doing the same with Baseball. Coaches from either organization will be invited to attend whichever meeting is convenient for them.

Meeting ended at 9:45 PM.
