Minutes of the DYS Monthly Meeting

July 12, 2000 – Meeting began at 8:22

Attending the meeting were:

Janet Gargan, Frank Pellino, Bob Trudeau, Dave Clarkson, Ernie Dion, Mike Gilbert, Tom Conway, Larry Pickering, Steve Gargan, Dick Crotts, Brian McQuesten, Chip Moore, Ellen Chambers, Jeff Chambers, Joel Hartnett, Shelly O’Donnell, Bob Barrows, Kim Butcher and Larry Davis.

Meeting attendance was 19 people.

There were not enough voting members in attendance, so the meeting was declared an informational meeting. If voting issues came, the voting would be tabled by Dave Clarkson, who would later call to collect votes. Dave also had a number of handouts from various organizations – a Londonderry Labor Day Tournament, Seacoast United Soccer Club training on Monday nights, Salem Youth Soccer Festival – Labor Day, North Reading Labor Day Classic, Amesbury Soccer, Rock’N Soccer so if interested talk to Dave.

DYS received Thank You notes from Mike Conti and Steven Gargan, both recipients of DYS scholarships. Dave Clarkson thanked Steven Gargan again and said DYS is proud of all the awards Steven received for volunteerism at graduation this past spring.

ECYSA and MTOC Report:

Dave congratulated DYS teams who made it to Essex County (ECYSA) playoffs and to those who made it to the Massachusetts Tournament of Champions (MTOC). DYS sent 9 teams to the ECYSA playoffs and had 3 champions with 3 other teams making into the finals.

There were 4 teams that made it to MTOC:

U-12 Boys – Division 2 – coached by Archie Archambeault went 1-1-1. Their one loss was to the eventual champion.

U-16 Girls – Division 1 - North Stars coached by Janet Gargan received a Bronze medal. A County All Star team knocked them out. In the round robin they were unscored upon.

U-16 Girls – Division 2 – Diamonds coached by Brian McDonald received a Silver medal and several spectators mentioned that it was one of the gutsiest performances they had ever seen.

U-12 Girls – Division 1 – Dynamites coached by Bob Barrows and Joel Hartnett won the Gold – the U-12 Division 1 Girls MTOC State Champs. There were articles in the Salem News and Danvers Herald.

At the ECYSA tournament DYS had the second highest number of teams at 9, with Andover leading the way with 17. Beverly and North Andover each had 8 teams and Ipswich had 6. At MTOC, ECYSA had 11 medallists and 5 state champions.

Because Danvers lent the ECYSA tournament the use of its fields; the $500 volunteer fee was waived. However, Danvers was still one of the top five towns that supplied volunteers.

Secretary’s Report:

Dick Crotts was filling in as secretary, so there was no discussion concerning the secretary’s report.

Travel Report:

DYS would like to thank Joel Hartnett for the use of the room at Hartnett’s Car Wash for the team formation meetings.

All teams were registered on time; we still need some pictures.

There were 316 kids that attended tryouts and following is the breakout:

Jeff thanked all of those who came out to rate the kids and form the teams. The score sheets were well done. There were 27+ people at team formation meetings. The cost for the fall teams will be over $3300 to ECYSA. The U-12’s as a group could take possibly 6 more kids and the U-14’s could use 6 more kids. There will be 4 players from Middleton who played on Danvers teams last year, returning to those teams this year. 22 teams were formed and the breakdown was:

10 Boys Teams and 12 Girls Teams with 11 U-12 Teams and 11 U-14 Teams.

Danvers Invitational Tournament Update:

Still need to check with DIT committees about Thank You’s that are still needed. We still have not received a check from the Ferncroft. Joel mentioned that Steve Jones from King’s Grant has wanted DIT business for the last 2 years in the event we want to look into other hotels as sponsors for next year.

 

Registrar’s report:

There have been no intramural team formations as of yet, this will hopefully occur at the end of July. U-7 Boys and Girls ratings were incomplete and we are still waiting for more. These are needed in order to properly form U-8 teams. It looks as if intramural numbers are about the same – approximately 950 kids. There will probably be the same number of intramural teams in the fall that we had this past spring.

V.P. of Administration Report:

Kevin Burge could not make the meeting, but did pass on this information regarding licensing clinics that are forthcoming and the dates were set on July 11:

G License – Wednesday, August 16 - from 6:00 – 10:00 PM

F License – Monday, August 21 and Wednesday, August 23 – from 6:00 – 10:00 PM

E License – Monday, August 14 and Wednesday, August 16 – from 6:00 – 10:00 PM

Monday, August 21 and Wednesday, August 23 – from 6:00 – 10:00 PM

All licenses will take place at the DHS Field house. A letter will be sent to all DYS coaches, Assistants and others who have expressed interest. Remaining spots will be filled by others from outside the program at cost. ECYSA will be notified by Thursday, July 13 and MYSA has already been informed and is passing out the word. Some inquiries have been received form as far away as Amherst, NH.

Jeff said there were 31 unsold kid’s tickets regarding the Bulldogs and Renegades games. There was some discussion as to how to do Bulldog/Renegade tickets in the future and the use of flex packs was mentioned, where people have more options regarding which games they want to see.

Jeff said that Joe Bradley, the Bulldog/Renegade representative mentioned that the Bulldogs/Renegades would be focusing more on the towns that support them with respect to camps and things in the future. We need to find a way to get them into Danvers.

The Dazzlers - a U-14 girl’s team will be attending a Bulldogs/Renegades soccer camp at the Cape in August with a large number of girls on the team attending.

Treasurer’s Report and Budget:

Motion to approve the April Treasurer’s report as presented, unanimously approved

V.P. of Operations Report:

Field permits for travel teams for fall have been sent in. Ernie had put in for start times of 9:00 AM on Saturdays and end times of 4:30 PM. Jeff asked that the start times be changed to 7:30 AM, in case make-ups are needed and Ernie said he would follow-up on that. He has applied for permits for Gates, the JV field and John George Park.

Jeff was asked if any High School coaches had requested the use of fields for Saturday’s during the fall and at this time, Jeff said no, he had not. Sound like Saturday use by High School teams is very rare.

Intramural permits to be applied for:

U-06 JV or Plains

U-07 Riverside – 5 fields

U-08 Smith and YMCA – 4 fields

U-10 Gates and Plains – 4 fields – Boys to Gates in fall, girls to Plains and switching in spring

They will be moving the nets off of all locations in order to let fields recover. There will be crews working on this Thursday, July 13.

Equipment return by coaches is scheduled for this Saturday, July 15 from 8:00 AM – 12:00 at the garage. They will also organize the garage and take inventory.

Gates sprinkler system has problems. Grass is turning brown and town says it is a fungus issue, but the town has been down at Gates working on the sprinklers. The town is getting a different controller and valve systems. The system is not hooked up on the automatic system. This job paid for by DYS in the past was never finished and there is also an outstanding bill for $2,682 and Dave will petition voting members about paying this.

A bill from St. John’s Prep was received for $423 to pay for a window broken during the Danvers Invitational Tournament this year.

There is still some unfinished work at Gates, regarding the installation of a water bubbler and sectioning off an area of this near the connector road. Guardrails need to be installed also.

DYS needs to clear boundary lines at the YMCA by cutting back the thorn bushes. At Smith, the back fields need some cutting back done. DYS needs to clear some brush at Gates also.

Smith 1 was not used but the center of the field needs repair. At Gates the 4 goal mouths need work, along with the midfield areas. The teams touch line areas and team areas need work. Ernie suggested cutting out the team area, applying stone dust and then benches. Joel said the benches go for $696 a pair, but are nice, made of aluminum and the town will store them during the winter. Ernie had gotten an estimate from the Green Company for all of this minus the benches and it came to $8300. The suggestion was to vote to pay the Green Company $10,000 and get the benches too and whatever else they can get. A bobcat may be needed at the back field because the team area there is sloped. Dave will call voting members on the issue of the $10,000.

 

Fields: Due to the heavy rain during the week prior to the weekend of 4/30, some games had to be cancelled due to field conditions.

Treasurer’s Report:

Brian has sales tax exemption forms for vendors available to those who need them.

Brian and Dave Clarkson are proposing changing the by-laws so those joint signatures on checks would only be required for amounts exceeding $500. The current by-law states anything over $100 needs joint signatures.

Other Business:

Joel and Bob Barrows brought up the subject of DYS paying for new warm-up suits for the girls on the state champ U-12 Girl’s Diamonds. The cost would be in the $1600 range. Dave Clarkson then proposed $800 to help subsidize the cost. Dave then proposed nicely embroidered shirts for all members of teams that went to MTOC.

Jeff made a motion to offer championship teams at MTOC - $50 per player to be used for a commemorative article of team attire and for teams that made it to MTOC but did not become champions - $25 per player to be used for a commemorative article of team attire. It was broken into 2 votes, one vote for the $50 and one vote for the $25. Dave said he would poll members on this.

Item 2: Approved

Vote to approve payment of an outstanding bill for $2,682 from the

Green Companies representing labor and materials to connect the Gates

sprinkler system to the water well that was dug last year. These costs were

incurred in 1999, but the system has not worked properly. The bill has long

been unpaid.The vote will allow Ernie Dion to satisfy himself that the

system is working prior to the bill being paid. Note that DYS was unaware

of this bill until this month. The discussion at the meeting was lengthy,

and we all stressed that the system should be in working order prior to

payment. We also were surprised that the bill hasn't surfaced sooner.

Item 3: Approved

Vote to change our bylaws to require dual signatures on all checks

over $500. The current policy requires dual signatures on all checks over

$100. Based on an analysis prepared by Brian McQuesten, this should still

allow 72% of our total expenditures to have dual signatures.

Item 4: Approved

Vote to authorize Ernie Dion to spend up to $10,000 in field

development funds to:

1. Strip and resod the "middle" of Smith School #1 field

2. Strip and resod the goal areas, team area sidelines of Gates

3. Investigate and complete, if possible, a stone dust and bench area for

each team at Gates 1 & 2. The board members present at the meeting all

agreed that the benches would be a desirable improvement at the

field.

Item 5: Approved

THIS ITEM IS REVISED FROM IT'S ORIGINAL FORM AT THE MEETING.

Dave received a large number of emails, phone calls, and live

conversations regarding this item. I have also been asked by Jeff Chambers

to amend the original motion (which was also made by Jeff Chambers):

Vote to support and celebrate the state championship U12 Girls Dynamites by

contributing up to $1,800 to the coaches of the team to be used to purchase

a commemorative jacket, warm up suit or other such item for each player

indicating that the team is part of DYS and is the 2000 Massachusetts State

Champions.

Item 6: Approved

To support and celebrate each team who progresses from the ECYSA

playoffs to the MTOC but does not win the state championship (this year

there were three such teams) by contributing $25 per player to the coaches

of the team to be used to purchase a commerative jersey, etc. for each

player indicating that the team is part of DYS and is a 2000 MTOC team.
