Minutes of the DYS Monthly Meeting

January 5, 2000 – Meeting began at 7:40

Attending the meeting were:

Meeting attendance was 22 people. All parents and coaches are welcome to attend DYS meetings held the first Wednesday of the month at 7:30 at Maple Street Church.

2 guests attended the meeting:

Paul Kendall – Major League Soccer – from Liverpool, England – is involved with the Danvers Recreation Department and looking to work with DYS. MLS had a camp last August which Danvers Recreation dept. did a mailing to all DYS players. They are running a soccer camp first week of August. Would like to set up a link with our web site from which they do on line registration.

Opportunity for "Team Training Programs" – 3 & 5 day format

MLS was involved with our U6 program (fundamentals)

Would like to do a morning, evening and a goalkeeper camp this summer.

Will do coach’s workshops,

Willing to participate in Jamboree for all Danvers Youth sports.

Suggestion made to see how other towns handle the Fundamental program.

Jerry Morin – our referee coordinator – has scheduled our training – there is a $15 charge, for insurance and registration. DYS will pay the fee for each of the Danvers Referees or U14 player interested in being a referee. Jerry attended the meeting as a guest.

Discussion regarding zero tolerance for verbal or physical assault on a referee. As licensed referees who are registered, it is the policy of Essex County to not tolerate coaches or parents harassing a referee.

Feb 5, 9 – 1 for referees – no charge to DYS refs

28 existing officials and any interested U-14 players.

EXISTING BUSINESS

Committee signups strongly requested of all DYS Board Members.

Secretary’s Report:

December Minutes had not been distributed to everyone. To be approved at February meeting.

Treasurer’s Report:

Collected money for spring travel in December

Most of referees have been paid

1999 Report reviewed and summarized- to be voted during February meeting.

Travel Report:

30 teams set up for the spring

Have all coaches for teams

There will be some openings with U16 girls – some Middleton girls will be invited to join the team as done in fall.

U18 boys – there are 4 – 5 boys who will play on a regional Middleton/Topsfield team.

@500 kids actively registered on travel teams

Discussion regarding raising travel registration fees for Fall 2000.

Coaches for U16 and U18 boys and girls voted on and approved.

Registrar’s report: MARK YOUR CALENDARS!!!!

Flyers are to be sent to Grades K–4 this month for intramural and U6.

Letters to be sent out to all coaches

Registration Feb 1st 6:30 – 8:30 at Highschool Cafeteria with Tournament sign ups to be held at same time.

IF YOU PLAYED Intramural in the fall, you are registered.

IF YOU WANT TO PLAY ON A TOURNAMENT TEAM IN THE SPRING, YOU MUST REGISTER ON OR BEFORE FEB. 1. NO EXCEPTIONS!

Thanks to Betty Pickering for getting permit for Highschool for Feb 1st.

Thanks to Sue Ambrozavitch for entering registered players into the database.

There will be no U5 sign ups, only U6 (no longer called Fundamentals).

Discussion regarding increased field size for U7 or 5 vs. 5 especially for teams with 9 players on roster. May be left as coach’s decision.

VP of OPERATIONS:
Board Listing: Secretary to print with minutes and mail out every other month – e-mail to board members and coaches who prefer e-mail

Permits for fields for intramural, travel and tournament have been turned into the recreation dept. One person from each organization (soccer, football, lacrosse, etc.) may request field permits. If we have any special events, permits are required.

Suggestion to rent a 5 x 10 storage unit at Cranney Self Storage, with shelves for records – front half – new balls, paint, shirts, etc.

Quote: $75 per month – Approval to do a trial for 6 months.

Reorganize space in garage so that it is more accessible.

Right now we pay $150 per quarter for the garage.

Authorization provided for 6 months. Approved unanimously.

Town 2001 keys – Important NOTE!!

THESE KEYS MUST BE TURNED IN TO Ernie Dion. This is the key that fits Gates at Smith, St. Johns, Gates field, etc.

Suggestion from Dave Mountain to have a

Youth Sports Jamboree

Tentative date of February 19 or 26th from 9 – 12

Like a trade show for Danvers Youth Sports, which DYS was invited to participate - technical questions/logistics/registration/training.

VP OF ADMINISTRATION
Referee training at the Dunn Middle School on February 5 (see above)

G license will be held in March for coaches

2000 BUDGET

Budget could not be approved due to insufficient # of board members available to vote. Would run at a deficit with Tournament allowing us to break even.

Need to look at intramural, travel and U6 registration fees for our June Registration, which have not been raised in 4 – 5 years. It is important to remember that there is no fundraiser, the tournament is the big event that keeps us from requiring one.

Tournament Budget

152 teams (decrease from last year) to be accepted in tournament

Less food and T-shirts based on running a smaller tournament

Referees based on 290 games.

Increase on Registration fee for tournament
