Minutes of the Danvers Youth Soccer December Board Meeting
February 2, 2005


Attending: Neal Hovey, Bruce Ocko, Brett Amico, Tom Conway, David Tye, Bob Gabel, Jeff MacInnis, David Kamens, Jeff Chambers, John Barrows, Janet Gargan, Simon Dillon, Tom McNulty, Loren Rocker, Chuck Mower.

15 people attended the meeting.

The meeting was called to order at 7:38 pm

Secretary's Report

Jan. minutes were not properly distributed and will be voted on at the March meeting. Website needs to be updated.

President’s Report – town meeting

The DYS president attended a townwide meeting regarding youth sports in general and field usage in particular. It turns out that an analysis performed for the meeting shows that DYS has the lowest field usage per participant. It also came up at the meeting that a per player usage fee for youth sports will be charged by the town starting in 2006. A subcommittee has been formed by the town to determine the structure of the fee. DYS will have representatives on the committee. There was very strong support at the meeting for lighting all town fields.

Treasurer's Report

There was no budget activity for the DIT during January.
Summary report was given of DYS budget activity through January.
The 2005 budget was discussed, which includes a significant deficit. Several proposals were made to cut the deficit. Eventually a motion was made and passed to raise registration fees $10 for the coming year, eliminate the Renegades game and associated custodial fees at the DIT, and to reduce the player development budget to $7500. The budget amended as indicated was approved by the board.

Registrar’s Report

Players currently registered for the Spring season have been entered in the SoccerTrak database. Still need date of births for 48 coaches. U6 parents emails have been added to the database, as well as emails for other age groups. DYS will have a table at the townwide registration on Feb.12, 10-12 at the DHS cafeteria.

Travel Director’s Report

Spring travel tryout flyer has been sent to the other town leagues as a courtesy. DYS may be taking players from Beverly for the U16 boys team.

Committee Reports – Danvers Invitational

55 teams have currently registered for the tournament. Target numbers are 96 full-sided and 96 small-sided teams. A team from Long Island, NY has applied. Next DIT meeting is Tuesday, Feb. 8, 7:00 pm at the Liberty Tree Mall Stop’n’Shop.

Intramural Tournament Committee (ITC)

73 players currently registered for the Spring tournament. ITC will be registering players at the townwide registration (see above for time and place). Current numbers are:
U8 boys: 9 players, 1 coach
U8 girls: 8 players, no coach
U10 junior boys: 14 players, 1 coach
U10 junior girls: 21 players, 3 coaches
U10 senior boys: 16 players, 1 coach
U10 senior girls: 5 players, no coach

VP Ops Report

Sent a summary of DYS permit requests to the town. Formal requests will come soon. Intramural season will run from April 17 to June 19.

VP Admin Report

Coordinators have been contacted to have the coaches find out which players are returning for the Spring season. Topsfield wants to add a U10 girls team to the Spring season. This will be investigated to see if it can really be supported. Investigating professional coaching and player development clinics.

Social Committee

Inquiries were made about a possible DYS golf tournament. Other ideas are welcome.

Touchline Committee

By next BOD meeting, any dates to be included for publication need to be emailed to Jeff Chambers at jsc_soccer@hotmail.com. Ideas for the Touchline are welcome as well.

Scholarship Committee

More members need to volunteer for the committee.

Long Term Planning Committee

A standing meeting is being held at the DHS fieldhouse, Saturdays from 8:30 AM to 10:00 AM during HotShots. Among the topics discussed at the last meeting were splitting the budget into an operating and a capital budget, allowing DYS to better track how operating income (registration fees) matches operating expenses.

Old Business

No design yet on a new DYS patch design. DIT patch design has been settled.

New Business

The NE Revolution have proposed a group ticket purchase by DYS. More details to follow.
Request has been made for a donation to Project Graduation. Same donation will be made as in prior years.
A request has been made by a DYS ODP player to support her ODP travel by purchasing a $50 ad in the ODP book. The request was approved by the board.
