DYS BOARD OF DIRECTORS MEETING

I.      Secretary's Report:
January minutes were accepted as written and are posted on web site.

II.     Treasurers Report:
Cash reports and operating activity for January accepted as written. Reworked budgets presented to those in attendance. All ECYSA fees are paid. $250.00 will be sent to Project Graduation. A request from Dillon Davis looking for sponsors for a People to People educational trip to Australia will be replied to with regrets as DYS does not sponsor individuals. Also discussed sending out an E-mail to anyone who normally receives checks or invoices, and also any receipts for supplies to turn them in monthly for easier and more accurate accounting.

III.    Registration:
Town wide sports jamboree will be held sat. Feb.8th . Those setting up are meeting for breakfast at Brothers at 8:30 am. Will have a display of uniforms and balls, photos, & patch collection. Car decals and patches will be available to hand out. Can accept some U-12 ‘s for spring placement. Flyers were passed out in all town schools including St. Mary’s. Final spring registration date is Weds. Feb 12th, room 101 in the high school. Fall registrations will be April 17th, May 8th, and June10th, at the high school, room 101along with all six night of tryouts. As of now only one U-7 girls team needs to be dropped due to players not returning. Those that are retuning will be placed on other teams.

IV.     Operations:
The shed at Gates was broken into. The vandals had bashed in the double doors. Only a few cans of spray paint was taken. Brett Amico along with the Davis’ put up plywood to temporarily closed it up until better weather. New doors will be made at that time. An inventory will be taken soon so an order may be placed for balls, etc., for spring and DIT.

V.       Administrations:
Coaches have been asked to contact players to see how many are returning before reworking teams. A first, U-10 boys have been reported as 100% returning. Intramural Coaches meeting will be March 20th, a Thursday. Tom Conway will check with Jennifer at the Sheraton to see if a large enough room is available, if not the High School Cafe will be needed. All data, rosters, schedules and game balls will be handed out. The proper use of equipment (Goals & Nets) will be discussed and keys passed out to those who need them. May still have a clinic on how to set up nets, take them down and how to store them. First aid kits need to be reordered, Neal Hovey will handle. Janet will order more coaches bags.
DYS Policy on playing time was discussed. It was generally accepted that at the intramural level equal playing time is most important and that players are used equally in both offense and defense, with the actual positions to be decided by the coach. The number one objective is that the kids have fun. Coaches will be reminded that running up a high scores is frown upon. Dave Clarkson will attend the meeting and help to explain our policy as an experienced coach along with whoever else is at the meeting. A good point with discussing this at the meeting is that the Topsfield coaches will be there also. As to travel, playing time should be as fair and as even as possible taken into consideration on how the game is going in regards to getting a sub in and some of the players endurance levels. Any more ideas will be discussed at the next meeting.

VI.     Travel:
All registrations are done. ECYSA is in the process of making the schedules now, all team placements have been made. The U-16’s will play a six week season while the U-18’s will play 6 games over three Sundays. The games will be played in a mini tournament format. The ECYSA Coaches meeting will be held on March 24th , 7:30PM at the Georgetown Country Club. A registered coach or assistant coach MUST attend. No exceptions.
The ruling this year is that there will be NO reschedules except for a school related matter such as graduation. Any requests must be made to your groups commissioner to be considered and may or may not be approved. A team will play with seven players, under seven and the team will forfeit and be accessed a fine.
Just for the record the town is not happy with the permit request for an earlier then normal start. At this point we do not know if we will have permits for opening weekend.

VII.     DIT
The U-12 and U-14 age groups are filled. U-16’s still have a few slots and small-sided U-8 and U-10’s are open to all. As of now we have 54 small-sided and 94 full-sided teams registered. The next DIT meeting is Feb.12th, 7:30Pm at the Stop & Shop.

VIII.    ITC
Registration will be at the jamboree and on the 12th with a team formation and coach selection meeting to be held on Feb. 26th, 7:00PM. Room 105 at the High School. Tom Conway will supply Neal or Frank a flyer on instruction on how to register ITC teams on the DIT web site.

IX.      Referees:
There will be a meeting at Bob Gabel’s house on Sunday, Feb.9th at 8:30 PM to discuss an in-town mentoring program. At the last referee course 7 people from Danvers passed, 2 for small-sided and 5 full-sided. Jeff Chambers is one of them.

X.       Old Business:
1) Touchline
Tom Guidi would like to have the touchline out in the mail for the start of the spring season. Publication deadline is March 5th. E-mail to Tom at  TGUIDI@hembar.com. Or bring to the BOD meeting that night.

2) Danvers Youth Sports Meeting
Jeff Chambers and Tom Conway attended along with the presidents of all the youth sports leagues and the Rec. Dept. Discussed were the real possibility of a user fee to maintain services now supplied by the town. A fee of $10 per registered player is being considered. As of now special events like the DIT would be exempt from that fee. It is possible that this fee will be in effect for the fall season. DYS could work this fee into the registration fees. Privatizing fields could be an option, but we would lose some fields. Also mentioned was if any groups have any conflicts, those involved should work it out between them and then notify the Rec. Dept. of the results.

3) Calendar Dates
Any last minute Calendar dates need to be sent to Jeff Chambers, ASAP so the calendar can be put into the Touchline.

4) MYSA AGA
The Mysa AGA is March 1st . When and Where is in the Baystater.

XI.     New Business:
1) DYS player, Heather Madden has been named Captain for the high school team.
2) Noted that for the first time a Division three college soccer program has been put on probation. Salem State College is on probation due to some financial aid issues with team members and the former coach.

Meeting ended at 10:00 PM.

Next meeting will be March5,2003, 7:30PM at the Maple Street Church.
