DYS Meeting Minutes
DECEMBER 3, 2003

Meeting called to order at 7:40 PM

1) Secretary’s Report

November minutes passed out and are on website. Accepted as written.

New board lists handed out and are on website, committee list will be ready for next meeting. Ad in Danvers Herald for the High School soccer teams will be in the December 4th issue, bill to be sent to Bruce Ocko, treasurer.

2) Treasurers Report

Cash report for November presented and accepted as written. The 2002 review done by Grandmaison and Tripoli is in line and okay. 2004 budgets gone over and amended as needed, final rewritten budget to be presented at next
meeting. Board approved the purchase of a laptop for use by the Travel directors under capital expense. Tom Conway to get some quotes and will e-mail them to BOD.

3) Travel

As of tonight there is a total of 115 U-16 and up players registered. Some age groups are low so Coaches will be called to check on and verify players not heard from. A late date of December 10, 2003 was agreed on. Team Formation meeting to be held soon, final date, time and place will be e-mailed to travel committee.

Travel Tryout dates have been confirmed. They are Friday, May 14, 2004, Friday, May 21, 2004 and Sunday, May 23, 2004. These dates will be given to other sports groups as a heads up.

4) Operations

Balls will again be ordered directly with Select. We have been quoted a price of $18.50 each on 4’s & 5’s. Working on a cheap price on 3’s. End of season coaches game and field breakdown worked out well. All had a good time and the work got done. This will become a regular thing. Gates field goalmouths will have to be worked on at the end of the spring season. Working on bids for the work needed at the YMCA field.

5) Administration

Intramurals will play a 9 week season ending on the weekend of June 20, 2004. No play over the Memorial Day Weekend (DIT)

6) DIT

Permission to host has been filed. Invitations will be sent out in early December, first consideration need to be registered and paid in full by February 26, 2004. Any slots open in full-sided will be posted on DIT website on February 27th. All registrations paid in full must be received by March 31, 2004. Small-sided will be advertised. DIT Kick-Off meeting slated for January 13, 2004 @ 7:30 PM at the new Stop & Shop meeting room at the Liberty Tree Mall.

7) Field Development

Meeting with the town’s Rec. Committee was very positive and the town is receptive to our offer to help develop new soccer fields. DYS will be meeting soon with the committee to discuss DYS policy’s and the fields. At this time there will not be a field usage fee for the spring.

8) Due to the time discussion of DYS policies was benched to a future meeting.

9) New/Old Business

Website committee has talked to the webmaster at Mead, Mark Jones, and it was agreed that Mead will continue to handle the site. Site will be updated within 24 hours after sending Mr. Jones information. This only works if
information is sent to the secretary via e-mail in a timely manner. It is best if the information is in the form of a word.doc attachment that can be forwarded to Mr. Jones. The secretary’s e-mail address is davislilacs58@aol.com . Tom Conway can set up an informational page link on the website if needed/wanted.
