Minutes of the DYS Monthly Meeting

December 6, 2000 – Meeting began at 8:32

Attending the meeting were:

Meeting attendance was 21 people.

DYS Annual General Meeting was held November 16th

The annual general meeting of DYS was held on November 16, 2000 7:30 PM at the DHS cafeteria. Highlights of the meeting were the accomplishments for 2000 and the plans for 2001. It was the last meeting for Dave Clarkson as DYS President as the election of new officers took place. Congratulations to Tom Conway who was elected DYS President. Attached to these minutes is the Board of Directors for 2001.

This month Tom Conway opened up the meeting with the following items:

meeting formats for 2001 (short officer reports, previously determined discussion items and open or additional items to be discussed)

Committee Chairs and Signups (two new committees have been added : advanced Development of DYS and Player Development)

Secretary Report

The November Minutes were unanimously approved.

These minutes, the December 2000 minutes, are the last set of minutes that will be sent by U.S Mail. Starting in January, the minutes will be sent out electronically by email or posted on the DYS site under About DYS & Board. Send your emails to DYS@theglobe.com.

Treasurer’s Report:

The November Treasurer’s report reviewed and approved. Chip Moore has taken over the Treasurer duties from Brian McQuesten.

Registrar’s report:

Spring U16/U18 Registration deadline was December 5, 2000. Prior to the 5th, there were 37 U16G, 21 U16B, 17 U18G and 17 U18B signing up for the spring. Mike Gilbert is the new Registrar taking over for Tom Conway.

Travel report:

Spring U16/U18 Team formation meeting will be December 12th 7:30 PM @ the Clarkson's.

Essex County Registration for the spring season is January 9th. That date will be before our January meeting and the 2001 budget approval. Motion passed to allow Jeff Chambers to pay Spring Fees prior to budget approval.

VP of Operations Report:

Field Permits are in with the town for the Spring Intramural and Travel programs as well as the Danvers Invitational Tournament. The YMCA has already granted a permit for their field. St. John's Prep will be contacted relative to the tournament.

Field Development/GATES

Completed over-seeding.

Field Development/YMCA

Looking to improve the quality of this field. Currently the field is very packed-down so the first step is to loosen up the field. The town is looking for the initial cost to be funded by DYS and then the town would put the "Y" field on the regular maintenance program. Later, the Field Development Committee will be cutting back the growth around the field.

Motion passed to allow Ernie Dion to spend up to $500 for the loosening process prior to budget approval.

VP of Administration Report:

Plans are underway to offer the following Coach License Courses this winter in February: F/G (2 weeks each) and D (4 weeks). More details to follow - keep checking the website or send a message to dys@theglobe.com if interested.

Referee course details will also follow.

The question came up as to whether or not the July and August meetings should be combined into one meeting. It was determined that one meeting makes sense.

Intramural Tournament teams:

Forms are out for Spring Tournament sign-ups. Final registration will be February 6th, 6:30-8:30 PM Room 101 at the high school. This will be for DYS registration and ITC registration signups.

The 10th Annual Danvers Invitational Tournament:

Meetings will start in January. We need as many DYS parents as possible to help out. This is our ONLY fundraiser! If interested in helping out contact Janet Gargan or send an email to dys@theglobe.com

It was discussed about sending mailing to past participants first with a preference deadline before accepting from new teams.

It was also discussed that there will be a request of Danvers teams to commit to a certain amount of volunteer time at the tournament.
